Overview

For WorkFlowMax, there are two different levels of payment plans, Standard and Premium. The cost of each plan varies based on the number of users you would like to add to your account. For the purpose of this comparison, we have reviewed WorkFlowMax’s Premium plan with 3 users. Plans start from $33 per month for a Standard plan with one user, and go up to $440 per month for a Premium plan with 100 users. Where the WorkFlowMax app differs the most is the ability for customers to view a job’s progress, their iOS and Android app and the advanced Xero integration. However, Trak offers users the ability to create custom report templates and site-specific SWMS, annotations on files, signatures for approval on SWMS, reports and quotes, and also the ability to add subcontractors at no extra cost.

On Trak, there is no tiered pricing – you simply pay $1 for each job you create. The plan we’ve decided to review for WorkFlowMax is $115.50 per month for access to all features.

Trak does not limit companies by the number of users they can create or subbies they can add, and there’s certainly never an extra cost for this. WorkFlowMax has plans which are flexible according to the number of users you would like to have, but the costs vary greatly depending on your preferences. The plan we’ve compared allows for three users.

Subcontractors

On Trak, you can add any company with an account on the app as a subcontractor for your business and add them to jobs where they will have restricted access to the details. On WorkFlowMax, the options they suggest are to either set your subcontractor as a supplier and just create purchase orders for their time, meaning they have no access to job details, or you can add them as a regular user (at a cost), assign them to a job and restrict their permissions. But if they are added as users, are they really subcontractors?

Customisable Permissions

On Trak, you’re able to edit permission settings for user groups, and create as many different roles as you like. On WorkFlowMax, you can edit the permission settings for each individual user.

Customer Portal

While WorkFlowMax doesn’t have a customer portal, there is a function that allows customers to be set as client contacts and to log in and view the progress of the job, if set up by the company. Trak does not have this feature.

Quoting & Invoicing

Both apps allow you to create professional looking itemised quotes and invoices. However, on WorkFlowMax, quotes need to be approved before a job is created, and on Trak, you start a job before creating a quote. Both apps allow you to invoice by percentage or amounts less than the total.

Payments

Payments can be both recorded manually or received automatically using Stripe or BPAY on Trak. WorkFlowMax users only have the ability to record payments manually.

Scheduling

Both apps allow you to add start and end dates for jobs, and schedule them. Trak, however, has a User Scheduler which allows for scheduling of non-job related items (which are custom for each company and can be added in settings) such as RDO’s or annual leave.

SWMS

On Trak, you’re able to build site-specific SWMS, custom for your company, on your account, and save them as templates for quicker use when onsite. WorkFlowMax does not have this feature.

Report Builder

Trak allows users to build report templates from scratch that may be required for job management, such as job completion reports. The templates can be completed quickly on the jobsite by other users. While WorkFlowMax has a report builder for finance features, they do not allow users to create custom in-field reports.

Documents

Both Trak and WorkFlowMax allow for the upload and storage of documents in-app. WorkFlowMax also integrates with Dropbox, OneDrive and Box if over 25GB of storage is required.

Annotations

On Trak, you’re able to add annotations to any file that you upload. This can include things such as drawings, or text. WorkFlowMax does not have this feature.

Tasks

Both apps offer a Tasks feature, which allows for tasks to be assigned to jobs, allocated to users, and set with due dates and times.

Customisable Statuses

Both apps allow for the customisation of statuses, however, WorkFlowMax refers to them as ‘States’. On Trak, you’re also able to set a different colour for each status.

Signatures

On Trak, the signature of users or clients can be captured for quote approval or things such as SWMS and reports. WorkFlowMax does not have this feature.

Job Costing

Both apps allow you to track the cost of your jobs by taking into consideration timesheets or time tracking, quotes, invoices and payments.

Accounting Integrations

Trak offers a one way integration with Xero, and the ability to export data to a number of MYOB systems. WorkFlowMax’s main accounting integration is with Xero, however they also offer ones with MoneyWorks and Receipt Bank and a number of payroll apps.

Xero Integrations

Trak’s Xero integration allows clients, payments and invoices to be pushed through to Xero. A Xero account is a requirement for creating an account on WorkFlowMax. This integration offers a two-way sync and pushes details of clients, payments, invoices and purchase orders from WorkFlowMax to Xero. Supplier invoices created on WorkFlowMax trigger the creation of bills payable in Xero. Payments recorded in Xero can also automatically be imported into WorkFlowMax.

Mobile App

WorkFlowMax has a mobile app available for Android and Apple users. Trak is a web-based, although it can be saved as a Progressive Web App on iOS and Android.

Offline Access

Although WorkFlowMax has a mobile app, it’s still reliant on internet access, as is Trak.

Knowledge Base

Both apps offer a series of detailed knowledge base articles designed to help users with navigating the app.

Support Videos

Both Trak and WorkFlowMax offer users video guides which provide walkthrough tutorials for using features on their apps.
